Digital processes, networked data: Project management in the public sector reimagined

Centralized project control, automated administrative processes, and data protection-compliant implementation - many public institutions are confronted with these requirements in their digital transformation. One solution that combines all these aspects is Projektron BCS - web-based project management and ERP software that is already in use in various public organizations.

The software allows classic and agile project methods to be combined flexibly – from PRINCE2 and V-Modell XT to HERMES and Scrum. At the same time, it offers the option of managing resources, budgets, and processes on a shared platform. A particular focus is on process management: standardized workflows can be modeled and automated, and individual approval and application processes can be mapped digitally.

For public institutions, this means fewer media breaks, greater transparency, and more efficient collaboration across departments. Instead of working in separate systems, information is bundled together, for example in approval procedures or resource controlling.

Another key issue is the implementation of legal requirements. For example, digital invoicing will be mandatory from 2025. The software has an integrated e-invoicing solution that can be integrated into existing processes and supports the digital processing of incoming and outgoing invoices.

New opportunities are also emerging in the field of artificial intelligence. Initial applications, such as summarizing support requests or assisting with routine tasks, are already in use. In the future, such functions should help to deploy human resources more effectively and reduce the administrative workload.

Data security remains a key criterion: The solution can be operated both cloud-based and on-premises and meets industry-specific security standards – an aspect that is particularly important for institutions with sensitive data.

A look at real-world practice shows that digital solutions alone are not a panacea. It is crucial that they can be integrated into existing structures and accepted by users. That is why many institutions are focusing not only on technical implementation, but also on accompanying measures such as training and the early involvement of relevant stakeholders.

The digitization of public services remains a complex undertaking, but scalable, adaptable systems can help take important steps toward a connected, future-proof administration.
